There is a distinct difference between the services you receive from a wedding coordinator and a venue coordinator. Now a wedding coordinator is not to be confused with a wedding planner, as a wedding planner is someone who either plans your entire wedding for you or walks the journey of planning your wedding with you, depending on the services offered by the planner you hire. But a wedding coordinator is hired to execute the day you have planned yourself. You have taken on the responsibilities of choosing and hiring all of your wedding day vendors and completing the contractual agreements that explain the services you expect to be provided from each of them. The wedding coordinator basically comes in, gathers everything you have planned, and executes the day based on the agreements you have with all of those wedding professionals.
The difference between the wedding coordinator and the venue coordinator is that a wedding coordinator works for you, while the venue coordinator works for the venue. You see, a venue coordinator is only responsible for the details listed in your contract between you and the venue. They aren’t responsible for the happenings of your ceremony, lining your wedding party up for the processional or photos, or advising your vendors of when certain things are about to happen throughout the wedding day. A wedding coordinator will make sure that at each stage of the day your key players are in place and ready to roll when it is their time. A venue coordinator may be able to assist your catering staff, especially if catering is an in-house service, but they aren’t worried or even interested in communicating with your makeup artist. And let’s be real, makeup and hair starting and staying on task is one of the most important parts of your wedding day schedule.
Your wedding coordinator will take on the responsibility of captaining the day. Your wedding coordinator will make sure all of the vendors who have a role to play on your wedding day are on the same page and have the same goal, which is making sure your day is everything you requested it to be. The venue coordinator is responsible for the ins and outs of the facility and expect your vendors to already know the inner-workings of your wedding day. Furthermore, they aren’t responsible for handling any misunderstandings or discrepancies that take place. That means, if something does not happen as expected, the problem is coming straight to you.
It is important to know the difference between these two roles before you decide to go without. You shouldn’t be the person cuing the music for your bridal entry. But if you assume this is something your venue coordinator is responsible for, it might come down to just that.
We want you to be as well informed as possible when deciding to hire or omit certain vendors from your planning team. It is our suggestion that you at least look into the option of hiring a wedding coordinator. It may very well be the best investment you make for the day.
Until next time…
be sweet & happy planning!
